How do I find and filter articles?
Learn how to search and filter articles by status, language, and keywords to efficiently manage your translation workflow.
As your help center grows, finding specific articles becomes essential. Translate Desk provides powerful search and filtering tools to help you quickly locate articles by status, language, keywords, and more.
Article List View
The Articles page shows all your articles in a list. Each article displays:
- Article title
- Current status
- Available languages
- Last updated date
- Quick actions
Use this view to browse all articles and see their current state at a glance.
Searching Articles
Text Search
Search for articles by keywords:
- Go to the Articles page
- Use the search box at the top
- Type keywords from the article title or content
- Results update as you type
What gets searched:
- Article titles
- Article descriptions
- Article body content
Search tips:
- Use specific terms for better results
- Search is case-insensitive
- Partial matches work (e.g., "API" finds "API key")
- Clear the search to see all articles again
Filtering Articles
Status Filter
Filter articles by their current status:
- Use the status dropdown in the filter bar
- Select a status:
- Needs Translation: Articles that need translation
- Ready to Push: Translations ready to publish
- Needs Sync: Articles that need syncing
- In Sync: Articles that are current
- Failed: Articles with errors
- Orphaned: Articles deleted from Intercom
- The list updates to show only articles with that status
Use cases:
- Find all articles ready to push
- Identify articles that need translation
- Locate articles with sync issues
Missing Language Filter
Find articles missing translations in a specific language:
- Use the language filter dropdown
- Select "Missing" for a language
- The list shows articles that don't have translations in that language
Use cases:
- Find articles to translate for a specific language
- Identify coverage gaps
- Prioritize translation work
Available Language Filter
Find articles that already have translations in a specific language:
- Use the language filter dropdown
- Select "Has" for a language
- The list shows articles that have translations in that language
Use cases:
- Review existing translations
- Find articles to update
- Check coverage for a language
Combining Filters
You can combine multiple filters to narrow down results:
Example: Find Articles Ready to Push in French
- Set status filter to "Ready to Push"
- Set language filter to "Has French"
- Results show French translations ready to push
Example: Find Articles Needing Spanish Translation
- Set status filter to "Needs Translation"
- Set language filter to "Missing Spanish"
- Results show articles that need Spanish translations

- Search for "API" in the search box
- Set status filter to "Ready to Push"

Active Filters
When filters are active, you'll see:
- Active filter badges showing what's applied
- Count of articles matching the filters
- Option to clear individual filters or all filters
Clearing Filters
To remove filters:
- Click the X on individual filter badges
- Or click "Clear All" to remove all filters at once
- Or reset filters using the filter dropdowns
Filtering Best Practices
Workflow Filters
Use filters to support your workflow:
- Start of day: Filter by "Needs Translation" to see what needs work
- Before pushing: Filter by "Ready to Push" to find translations to publish
- After updates: Filter by "Needs Sync" to see what changed
- Language focus: Filter by missing language to focus on one language

URL Parameters
Filters are saved in the URL, so you can:
- Bookmark filtered views
- Share links to specific filtered lists
- Refresh the page without losing filters
The URL updates automatically as you change filters.
Pagination
When you have many articles:
- Results are paginated (typically 20 per page)
- Use pagination controls to navigate
- Filters apply across all pages
- Search results may show all matches on one page if there are few results

Find work to do:
- Status: "Needs Translation" + Missing Language: [Your target language]
Find ready to publish:
- Status: "Ready to Push" + Available Language: [Your target language]
Find sync issues:

Find specific content:
- Search: [Keyword] + Status: [Any status]
Filtering from Coverage Cards
You can also filter from the language coverage section:
- Go to the dashboard
- Click on a language coverage card
- You'll be taken to the Articles page with that language filter applied
- This shows articles missing translations in that language
